Revecent Consulting Blog How to use Salesforce Global Search

Salesforce.com is constantly updating the Global Search features and performance and it's finally at a point where it's consistently the fastest method of finding data in Salesforce.com. You can search much more across Salesforce.com including custom fields, files, and documents. With auto complete and more advanced search wildcards, operators, and filters really come in handy to help when you don't quite remember EXACTLY what you're searching for. What fields are searchable in Salesforce.com? Global Search can look up almost everything in Salesforce including:Article FieldsIdea FieldsAttachment FieldsLead FieldsBusiness Account FieldsNote FieldsCampaign FieldsOpportunity FieldsCalendar Event FieldsPeople FieldsCase FieldsPerson Account FieldsChatter Feed FieldsPrice Book FieldsChatter Group FieldsProduct FieldsContact FieldsQuestion FieldsSalesforce CRM Content FieldsQuote FieldsContract FieldsReport FieldsContract Line Item FieldsRequested Meeting FieldsCustom Object FieldsService Contract FieldsD&B Company FieldsSolution FieldsDocument FieldsTask FieldsEntitlement FieldsTopic FieldsFile FieldsUser Fields Yes, Global search can also search custom fields including long text fields such as descriptions, notes, and task and event comments.Global Search Facts:Search is not case-sensitiveSearch terms must have two or more characters not including search wildcards. For example, a search for "M" won't yield any results.Global search keeps track of which items you use and how often you use them and sorts your search results accordingly. Search results for the objects you use most frequently (Leads, Accounts, Opportunities, etc) appear at the top of the list. If global search doesn't have enough information about which objects you use, you see results for all objects until it has more information.Fields on custom objects are only searched if you have built a custom tab for the object. The tab does not have to be visible. You can search custom objects just as you can search standard objects in Salesforce. Custom object records are searched only if there is a custom tab associated with the custom object. Users aren't required to add the tab for display.Search terms are treated as separate words and may be found in different searchable fields within a record. For example, searching for Mark Smith returns items with Mark Smith, as well as a contact named Mark Jones whose email address is mjones@smith-web.com. Part II of Global Search Tips will be covering more advanced search functionality using wildcards, operators, filters, and other options to leverage the powerful capabilities of Salesforce.com Global Search...Stay tuned.
